Kronos is upgrading to My UT Health Time Manager

On Oct. 21, the current Kronos timekeeping and scheduling system will be upgraded to a modern, user-friendly application with a new name: My UT Health Time Manager. The new timekeeping and scheduling application will provide a real-time solution for punching in and out with time clocks, requesting PTO and a mobile app for viewing time and leave information.

What’s changing? 

The My UT Health Time Manager is an upgraded version of the familiar Kronos application to manage time, attendance and scheduling.

  • Employees are allowed to fix their own missed punches. Managers will receive notifications of punch correction requests and are required to approve or disapprove the corrected punch requests daily to ensure that all employee time cards are accurate.
  • Leave requests submitted prior to Oct. 18 will automatically move to the new system.
  • As part of our initiative to improve the employee experience, a new mobile app will be available for employees to view their schedules and electronically submit time-off requests.
  • All employees will have visibility into their schedules, time-off request status and the holiday schedule from either their mobile app or desktop.

 What’s not changing?

  • Employees will continue to use the existing time clocks. The hospital will have time clocks installed in the break rooms and by the service elevators.
  • Punches will round the same. Exceptions and grace periods remain the same.
  • All time cards require approval at the end of each pay period with the same deadline.

When are we changing?

  • Starting Oct. 21, everyone will begin using the new My UT Health Time Manager and employees can start using the mobile app or desktop to submit time-off requests.
  • Information will be provided regarding downloading the mobile application.

What’s next?

  • On-demand training, live virtual sessions — supported by self-paced job aids, simulations and videos — is available now here.
  • Additionally, employees can join a live virtual training listed at the Time & Attendance SharePoint site.
  • Plan for Transitions Oct 18-21:
    • Employees log out and review time cards at the end of their shifts Oct 18 and 19.
    • Managers will review and approve time cards and all PTO submissions by close of business on Oct 18.
    • On Sunday, Oct. 20, the system will not be available for technical cutover. Missed punch ins/outs will need to be corrected on Monday, Oct 21.
