A major technology enhancement is currently underway to upgrade our online people processes from the Peoplesoft Human Capital Management (HCM) System to the new HCM Oracle Cloud suite of related talent processes. This upgrade will soon modernize the look, feel and convenience of updating employee personal information and initiating personnel changes by supervisors.
The new interface will resemble and reside within the HCM Oracle Cloud suite currently used to access UT Health Learns and UT Health Performs modules.
The specific components of employee personal information listed below have resided in PeopleSoft Employee Self-Service. Employee personal information and access to enter updates is scheduled to move to the institution’s new HCM Cloud interface in April.
What personal information will be available in HCM Cloud?
All employees can review or make changes in HCM Cloud to their:
- Home or mailing address;
- Phone numbers;
- Email addresses;
- Marital status;
- Emergency contacts;
- Name;
- Gender identity;
- Ethnic group; and,
- Disability disclosure.
Other employee self-service options in HCM Cloud include:
- Viewing your compensation, including compensation history.
- Viewing the employee directory.
Manager direct access options available within HCM Cloud
In addition, the upgrade to the new HCM Oracle Cloud suite will allow supervisors direct access to make changes and request personnel actions directly within the application, including these functions:
- Changing employee locations;
- Entering employee transfers;
- Requesting employee promotions;
- Entering salary changes;
- Viewing direct report compensation and compensation history;
- Requesting new positions;
- Requesting position changes; and,
- Viewing status of requests within the application.
While supervisors can access these functions directly in the system, managers are still advised to seek guidance from their HR strategic partner or HR generalist on specific situations before submitting these tasks. More details and training for these tasks will be shared with supervisors and managers in the coming months.
Not yet moving
Several other employee self-service options that are remaining – for now – in PeopleSoft ESS include payroll-based functions like viewing your paycheck or W-2s and updating W-4s and direct deposit details. Timing for moving those payroll functions to HCM Cloud will be shared as the project continues.
